The role of Age Group Coordinator is the key communication point between the Club committee and its Coaches & Team Managers.


Duties and Responsibilities

  • Manage age group throughout season –coaches, players & parents queries

  • Assist with any new member enquiries or refer them onto the Club Registrar

  • Maintain contact list of coaches & Team Managers for your age group throughout the season and distribute any Club communication onto your teams received by the Club Secretary or Committee

  • Ensure all Team Managers understand their role & responsibilities as detailed on the Club website.

  • Assist with registration day (twice per year) where possible

  • Follow up on players in the week that follows registration day who are unregistered after registration day for the coming season (twice per year). Player registration lists will be provided to you by Club Registrar 

  • Advise Club Registrar of player withdrawals & give explanation as to why players are withdrawing or not registering with the Club for a new season.

  • Obtain feedback from coaches regarding grading submission of their teams for the premiership season and forward onto the Coaching Coordinator.

  • Co-ordinate with Club Registrar any fill-in players required by coaches during the season where they do not have enough players for a game. This includes ensuring the Association rules & regulations are abided by.

  • Watch each team twice during the season to evaluate players to assist with player selection the following season. Preferably once during the grading phase of the season and once towards the end of the season. 

  • In the lead up to the registration day, encourage all coaches to watch teams within their age group to assist with Player Evaluation & team selection next season.

  • Attend coaches team selection meeting and provide full list of registered players for the season and player evaluation sheets to enable coaches to select teams for the new season

  • Provide assistance to coaches (if needed) with the selection of teams for the new season and ensure the Club Team Selection Policy is followed.

  • Following Team Selection meeting forward to the Club Registrar full team submission list details including suggested team competition grade & player details.

  • Follow up on current coaches to re-affirm availability for coming season (twice per year) and encourage them to submit an expression of interest to coach with the Club Coaching Coordinator

  • Assist the Coaching Coordinator by ensuring that all coaching vacancies are filled prior to the commencement of each season. Where coaching vacancies occur, they will work with you to find suitable people to take on the role.

  • Attend coaches meeting where the coaches are given details of the upcoming season (twice per year) to meet and greet coaches for your age group.

  • Provide support & organise mentoring to coaches if difficulties occur. 

  • Attend presentation and family day to assist with set-up and presentation of trophies

  • Encourage coaches to attend training sessions on offer and attend Basketball Victoria Level 1 Coaching Course (where applicable). 

  • Attend Club committee meetings as required




  • Reports to the Members and General Committee of the Club

  • Acts as or ensures his/her delegate act in the best interests of the Club

  • Supports all coaches, players and committee members




  • The Age Group Coordinator is accountable to the Members and the General Committee

  • Must hold a current Working with Children Check (WWC) & have signed a Member Protection Declaration
